How to get the most out of SuiteAnalytics Workbooks & Next-Gen Dashboards

Featured Image

Fundamentally upgrade how your team interacts with the system, moving them from reactive data-gathering to proactive analysis. Rolling out both SuiteAnalytics Workbooks and the updated dashboard architecture.

Mastering SuiteAnalytics Workbooks

The biggest hurdle with Workbooks is understanding the architecture. Unlike Saved Searches, which are built in a single screen, SuiteAnalytics is a two-step process: Datasets and Workbooks.

Step 1:  Build the Dataset
The Dataset is where you define your multi-level joins. Go to the Analytics tab and click New Dataset. Select your root record (e.g., Transaction).

Example 1:
If you are auditing calculations from the native NetSuite tax engine, you would pull the Transaction record, join it down to the Tax Details sub-record, and then join that to the specific Customer billing configuration.  Drag and drop only the fields you need into the Data Grid and save the Dataset.

Example 2:
Tracing Material Requirements Planning (MRP) component availability through multiple supply chain stages. start with the Item record (Finished Good) and join to the Member Items (Components). In a Workbook, you can then join those Member Items to their Member Items, cascading down the tree.

Step 2:  Build the Workbook
Once the Dataset is saved, click Create Workbook.
This is where you manipulate the data.

You can add Pivot tabs to aggregate revenue by tier, or Chart tabs to visualize month-over-month tax liabilities.
Datasets can be reused. You can build one master "Billing & Tax" dataset and let your team build five different Workbooks without bogging down system performance.

Deploying 2025.2 Next-Generation Dashboards

To get the most out of the 2025.2 interface, do not let every user build their own homepage from scratch. The most impactful strategy is to design standardized, role-based dashboards and publish them globally.

Step 1:  Design the Master Layout
Log in using the specific role you want to optimize (e.g., Consultant or Project Manager).
Click Personalize on the Home dashboard.
Use the updated layout options to snap KPIs, Custom Searches, and Reminders into place.

Step 2: Tailor for the Audience

When setting this up for team members, prioritize actionable data over broad reporting.

Place their specific metrics (top 5 selling items, Projects nearing budget thresholds, etc) , assigned project tasks, and pending resource time-entry reminders at the top center of the screen.

Keep complex financial trend charts off their specific views to reduce visual clutter.

Step 3: Publish and Lock
Once the dashboard looks perfect, click the Settings gear icon in the top right and select Publish Dashboard.

Select the roles you want to apply it to.

You can choose to lock certain quadrants (so users cannot accidentally delete vital company announcements or KPI meters) while leaving other quadrants unlocked for their own personal shortcuts.
