How to Optimize Efficiency and Performance in NetSuite

Tips to make your NetSuite Administrators efficient.

As your business expands, and data accumulates, NetSuite provides many tools to fine-tune system performance. Businesses need to focus on optimizing NetSuite data to maximize the value and accessibility of critical information. Explore our latest administration tips to enhance NetSuite efficiency and address the common performance issues that many users experience.

Why is ongoing optimization important inside NetSuite?
Optimizing NetSuite is a strategic decision that yields numerous benefits. Optimized systems effortlessly handle growth, minimize downtime, streamline customizations, and ensure future readiness. These advantages enable organizations to focus on revenue growth, simplify maintenance, and enhance overall efficiency.

    Tips for NetSuite Optimization Success:

Effective Data Management: Start with effective data management. Keep things running smoothly by routinely tidying up your data. This means giving historical data a little archive vacation, trimming redundant records and fields, and occasionally doing some bulk data decluttering. And remember, ongoing user training and reviews are your best pals when it comes to keeping data clean and the system humming efficiently.

Customization Balance: Customization is great, but too much of it can cause performance hiccups. Remember, each customization adds a layer of complexity. If your workflows and scripts become overly complicated, it could mean slower response times, more resource usage, and a less snappy user experience.

Third-Party Integrations: It's essential to fine-tune your third-party integrations for speed and efficiency. Unused integrations can drag down your ERP system. Consider disabling or removing ones you don't need, keep an eye on performance, and stay flexible for future tweaks as your business evolves.

Script and Workflow Optimization: To supercharge your scripts and workflows, take a close look at your processes and make them sleeker to cut down on load times. That means simplifying workflows, optimizing your code for quicker execution, and keeping a close eye on performance so you can tackle any bottlenecks quickly.

Stay Informed with NetSuite Updates: Don't miss out on the good stuff! Every time NetSuite rolls out a new release, it comes with performance boosts, tweaks, and bug fixes. So, create a shortcut to those release notes and announcements in your trusty customer portal. And why stop there? Consider signing up for NetSuite newsletters, hopping into webinars, and joining the chatter in NetSuite user groups and community forums. Keeping NetSuite up-to-date is key to keeping your system at its best, all spiffed up and ready to roll.

Regular Performance Assessments: It is important to check the performance of your NetSuite system regularly to keep your business on track. This is an area where many businesses seek the support from a NetSuite partner for complex challenges, health checks, data storage clean up, and on-going system support. Our team is here to assist with helping you align NetSuite efficiently with your business objectives.

    How to Optimize NetSuite Preferences:

To optimize NetSuite preferences for a quicker page loading time, try these quick adjustments. Click Home > Set Preferences:

    1. Go to the Appearance Subtab (Centers & Dashboards section): Customize the Landing Page preference to open NetSuite on your most-visited page, bypassing the Home page.

    2. Go to the General Subtab (Optimizing NetSuite section): Activate the Delay Loading of Sub lists option to load pages initially without subtab data. Subtab data is fetched when you click on the specific subtab, reducing initial page load time.

    • Adjust the Number of Rows in List Segments to a lower value to expedite loading on pages with extensive lists. A segment size of 50 is a balanced choice, as it divides long lists into manageable segments, enhancing loading speed.

    • Set the Maximum Entries in Dropdowns to a lower number to speed up pages containing dropdown lists with numerous options. Typically, a setting of 50 or less is suitable, unless larger menus are necessary. Larger lists are displayed in popups instead of dropdowns, as they increase page load time.

Tips to Optimize your NetSuite Dashboard and KPIS

Visibility is critical to understanding your business. NetSuite dashboards and KPIs provide just that, an overview of your need-to-know business data in real time. These tips will help you optimize your dashboard for important tasks based on your role.

NetSuite portlets: NetSuite Portlets are visual reports that you can add and arrange on your dashboard to highlight important information. To customize your dashboard, click “personalize” to open a list of portlets available to your role. Please note that you can only display 5 graphs and 10 reports on your dashboard at a time.

KPI portlets: Click “setup” inside the KPI portlet and then “Add standard KPIs” to add or remove KPIs from the list. KPIs can be set in comparisons, set by date range, or in the order that you want to view them.

NetSuite offers 75 out-of-the-box KPIs that can appear in your dashboard’s KPI portlet. These standard report figures permit you to drill down into the complete report for further information and detail when needed. But in most situations, businesses have specific data that they need to display that is not available in NetSuite’s standard reporting. Tip: Add the KPI portlet to the widest column of your dashboard for the greatest use of space.

How to Enhance NetSuite Reporting & Search Efficiency

NetSuite offers a wide range of search capabilities that help users get the information they need from a large database of stored information. Here are a few tips to help guide you in creating searches and reports:

    • Scheduled Searches: Whenever possible, utilize scheduled searches, even if current integration performance is working efficiently. These searches operate in the background, ensuring reliable results delivery, especially as your data volumes expand over time.

    • Limit Search Time Ranges: When performing searches or generating reports, it's important to work within a limited time range. Smaller time ranges generally offer more efficient results.

    • Avoid System Notes: Avoid including system notes in your searches, as they contain large amounts of data. If your processes require record history-based logic, consider utilizing a custom field on the record instead.

To configure search preferences, navigate to "Home > Set Preferences" and explore options under the "Analytics" subtab.

How to Optimize Search Performance in NetSuite

    Avoiding Resource-Intensive Search Conditions:
The "contains" condition in searches can be highly resource-demanding and time consuming. Consider replacing it with more efficient alternatives to enhance search performance.

If the records you need start with the value you're matching, use "starts with" or "keywords" instead of "contains." If the records you require contain words starting with the value you're matching, opt for "has keywords" over "contains."

    Scheduling Lengthy Searches & Reports:
This trick can save you time! You can conveniently schedule your saved searches and reports, and the results will be automatically emailed to you without having to watch the clock. This eliminates the need to wait for lengthy searches or reports to complete.

In the Saved Search go to the 'Email' subtab or use the 'Schedule' option in the report footer. You can select recipients, add messages, and specify attachments for emailed reports. Set how often you would like to receive the report by using the 'Recurrence' tab. If you encounter slow performance, consider using Application Performance Management (APM) for analysis or reach out to a NetSuite partner for support.

Enhancing the Configuration of Dashboard Portlets

NetSuite offers many options for dashboard configurations that allow users to add multiple portlets on a single page. However, keep in mind that loading real-time data for portlets can lead to extended page loading times, particularly for portlets like KPIs and custom saved searches.

To optimize your dashboard setup for improved page loading performance, consider the following strategies:

    • Utilize Shortcuts: If you require access to a portlet's information but don't need to display it on your dashboard, consider adding a shortcut to the Shortcuts Portlet for quick access.

    • Minimize Slow-Loading Portlets: If you intend to include slow-loading portlets on your dashboard, you can enhance the initial page load speed by minimizing them. To minimize a portlet, simply click on its title. The portlet will remain minimized when you log in or refresh the dashboard, and you can click its title to expand and view the data when needed.
